Everything it takes to deliver a project, on Autotask

ProjectSmith is where your team runs Autotask projects day to day. Engineers work a board and log time in a few clicks. PMs plan the quarter on a Gantt and see who’s actually free. Approved time and finished milestones go back to Autotask, ready for your billing run.

Boards

A board your engineers will actually keep up to date

Every Autotask project gets a Kanban board, with columns mapped to your own task statuses. Drag a card and the status changes in Autotask. If Autotask refuses the change, the card goes back and you see why.

  • Columns mapped to your Autotask task statuses
  • Board, list and Gantt views of every project
  • New projects built in Autotask first, with your board template applied
Gantt

Every project on one timeline

Open any project and see its phases, tasks and dependencies on a Gantt. Drag a bar and the new dates are written to Autotask. Switch to the portfolio and every project sits on one timeline, coloured by its Autotask status, with the overdue ones flagged.

  • Drag to reschedule, with clashing dependencies flagged
  • A portfolio Gantt for Planners, filtered by status or project manager
  • Projects with no dates listed underneath, so nothing hides
Timesheets and approval

Time gets checked before it gets billed

Engineers fill in the week on a grid or run a timer, then submit it. A manager approves it or sends it back with a note. Approved time is locked in ProjectSmith and created in Autotask against the right task and role, ready for your billing run.

  • Week grid, running timer, one-click submit
  • The approver sees wrong tasks and vague notes before the client does
  • Estimate changes, costs and expenses approved in the same inbox
Capacity planning

Know who’s free before you promise a date

Capacity starts from each person’s hours and takes off leave, public holidays and the ticket time they already carry in Autotask. What’s left sits next to the project hours you’ve booked. You see the overbooked engineer weeks before the go-live slips.

  • Hours per person, per project, per week
  • Service-desk load from Autotask ticket time on the same grid
  • Any Autotask resource can be planned, seat or no seat
Leave and utilisation

Leave on the plan. Utilisation from real hours.

Leave is requested and approved where you plan, so the capacity grid already knows who’s away. Utilisation counts ticket hours and billable project hours, including time entered straight into Autotask. Drill from the team to a person to the entries behind the number.

  • Leave requests and approvals, with regional public holidays
  • Utilisation by day, week or month, down to the entry
  • CSV export for the month-end pack
Budgets and fixed-price billing

Catch the overrun while you can still bill for it

Give each project and phase a budget in hours and money. Burn comes from approved time and costs, with a forecast at completion, so you see scope creep while there’s still time to raise a change request. When a fixed-price milestone’s date arrives or its task is done, ProjectSmith creates it on the project’s Autotask contract, ready to bill.

  • Budget, burn and forecast by project and phase
  • Fixed-price milestones ready to bill on a date or when a task completes
  • Approved extra costs become Autotask project charges
Autotask connector

Safe to connect on day one

Built by people who ran MSPs on Autotask, so it’s careful with yours. You create the API user and can revoke it any time. The write-scope guard is on from the start and keeps every write inside the companies and projects you pick, until an Owner turns it off.

  • Autotask stays the system of record, so there’s nothing to migrate
  • Write-scope guard on by default, so you can trial on live data
  • Only three deletes in Autotask: a task dependency, an extra assignee, a task with no time logged

Two seats. Pay for the people who sign in.

Anyone else in Autotask can still be planned, no seat needed. Minimum US$99/month (1 Planner + 2 Members).

  • Member US$20 per user a month

For the engineers doing the work.

    • Boards, tasks and the project Gantt
    • Timesheet and timer
    • Leave requests, plus their own capacity and utilisation
  • Planner US$59 per user a month

For project managers, service delivery managers and team leads.

    • Everything a Member gets
    • Portfolio Gantt, team capacity and team reports
    • Approvals, budgets and fixed-price milestones

Common questions

Does ProjectSmith replace Autotask?

No. Autotask stays your system of record, and everything your team does in ProjectSmith goes back into it.

Can we try it without risking our live Autotask data?

Yes. The write-scope guard is on from the start, so writes stay inside the test company and project you pick while you judge ProjectSmith on your real projects and people.

What happens if Autotask rejects a change?

A card you moved goes back to its column, with Autotask’s reason on screen. Approved time, charges and milestones are never dropped; anything Autotask refuses waits with the reason until a Planner fixes it.

Does ProjectSmith do invoicing?

No. Invoicing stays in Autotask, and ProjectSmith hands your billing run approved time, project charges and ready-to-bill milestones.

Does ProjectSmith schedule service tickets?

No. It counts service-desk load when you plan project capacity, and ticket dispatch stays in Autotask.
