Run your Autotask projects without the spreadsheets

ProjectSmith is project management for MSPs that run Datto Autotask. Your project managers plan, staff and bill from one place, and the work they approve lands back in Autotask.

Runs on your own Autotask data. No card needed to start.

Illustration of ProjectSmith: a portfolio timeline of four Autotask projects across six weeks, and a log of changes written back to Datto Autotask, including an approved time entry, a task status change, a milestone marked ready to bill and a queued project charge.

Every Autotask project on a board, a list and a Gantt

Board columns are your Autotask task statuses, so moving a card is the status change your techs would otherwise forget to make. Planners also get a portfolio Gantt across every project for the weekly planning meeting.

Move a card and the task status changes in Autotask.

Drawing of a ProjectSmith board: four columns named To do, In progress, Waiting and Done, with a card being moved into Waiting and a note that the new status was written to Autotask.

Catch bad time before it reaches the invoice

Techs submit a weekly timesheet. A project manager approves it, and only then is each entry created in Autotask against the right project task. Wrong tasks and vague notes get fixed that week, not after the client queries the invoice.

Only approved time is written to Autotask, and then it is locked.

Drawing of a weekly timesheet: three rows of project task time across Monday to Friday totalling 37 hours, marked approved, with 13 time entries created in Autotask.

Book project hours your engineers actually have

Capacity takes each person’s contracted hours, less leave, public holidays and the ticket time they carry in Autotask, and sets it against your project bookings. You see the overbooked week before the go-live slips.

Every Autotask resource is on the grid, seat or no seat.

Drawing of the capacity grid: three people across five weeks, each week split into project hours, service-desk load and leave, with one week over capacity.

Bill fixed-price milestones the day they are earned

Budgets by project and phase show burn and forecast as approved time lands. When a milestone’s date arrives or its task is done, it is marked ready to bill on the Autotask contract, and your normal billing run picks it up.

Invoicing stays in Autotask.

Drawing of a project billing plan: a budget bar at 62 percent burned with a forecast of 88 percent, and three milestones, one billed, one ready to bill and sent to Autotask, and one planned.

How it works

Self-serve setup on your own Autotask instance, with no onboarding fee.

  1. Connect Autotask

Connect an Autotask API user you control. Switch on the write-scope guard to keep writes to a test project while you evaluate.

  2. Run the work in ProjectSmith

Projects, tasks, resources and ticket time come across in the background. Plan on boards and Gantt, book capacity and approve time.

  3. Invoice from Autotask

Approved billable time, project charges and milestones ready to bill are already in Autotask when you run billing.

See every feature

Safe to connect to your live Autotask on day one.

  • Autotask stays the system of record

Projects, tasks, time and invoices stay in your PSA. Stop using ProjectSmith and there is nothing in Autotask to unpick.

  • A write-scope guard

Fence every write to the companies, projects and queues you choose. The only deletes are dependencies, extra assignees and tasks with no time.

  • Your own Microsoft sign-in

Connect your Entra tenant, and your Conditional Access, MFA and offboarding apply to ProjectSmith too.

  • Hosted on Microsoft Azure

In Australia, encrypted and backed up automatically. UK and US regions are planned.

Questions MSPs ask first

Does ProjectSmith replace Autotask Projects?

No. Datto Autotask stays the system of record for projects, tasks, time and billing. ProjectSmith reads your projects, gives your team better tools to run them, and writes the results back.

Do my technicians have to stop using Autotask?

No. Time entered in Autotask still counts in ProjectSmith capacity and utilisation, and task changes made there show in ProjectSmith at the next sync, every 15 minutes.

What does ProjectSmith write to my Autotask instance?

Task status, new tasks and projects, task predecessors, approved time, approved estimate changes, project charges and contract milestone status, all inside the write-scope guard while it is on. It deletes only three things: a task dependency, an extra task assignee and a task with no time logged.

How long does it take to get started?

Sign-up takes a few minutes. One of your Autotask administrators creates an API user with the permissions the connector wizard lists, and the first import runs in the background.
